  • A device with a working camera and microphone

  1. Upload Your PDF Document

Start a session and upload the document in PDF format. If your document is currently a Word, Pages, image, or scanned file, convert it to a clear PDF before uploading.

Review the document before the session. The notary can complete the notarization, but cannot rewrite the document, change legal language, or decide whether the recipient will accept it.

  2. Verify Your Identity

Before you meet the notary, you will submit a valid government-issued photo ID and complete the required identity authentication. This may include credential analysis and knowledge-based authentication questions.

Use your full legal name and current address. Make sure the ID photo is clear, the ID is not expired, and your browser allows camera access.

  3. Meet a Commissioned Online Notary by Video

After identity verification, join the live video session. The notary confirms your identity, reviews the notarial act required for the document, watches you sign electronically, and applies the electronic notary seal and certificate.

If there are multiple signers or witnesses, everyone who must sign during the notarial act should be ready to join at the same scheduled time.

  4. Pay and Download the Completed Notarization

When the notary session is finished, complete payment and download the notarized PDF from your dashboard. The completed document includes the notary's electronic seal and notarial certificate.

Need to confirm a completed transaction later? Use the document verification tool.

Document fit

What Can Be Notarized Online?

Online notarization is used for many common personal, real estate, financial, and business documents. Acceptance still depends on the document requirements and the organization receiving it.

Personal and Legal Forms

Powers of attorney, affidavits, sworn statements, consent forms, name-change paperwork, and similar documents.

Real Estate and Title

Deeds, title transfers, seller forms, real estate affidavits, and closing-related documents where RON is accepted.

Business Documents

Corporate authorizations, vendor forms, financial agreements, employee paperwork, and customer documents.

Check First When Needed

Ask the receiving party before starting if the document requires wet ink, special witnesses, recording rules, or jurisdiction-specific formatting.

Not legal advice: Online Notary Center can provide the notarization workflow, but it cannot tell you whether a document is legally sufficient for your transaction. If acceptance is uncertain, ask the recipient, attorney, title company, lender, agency, or advisor before starting.

Multiple signers

Remote Signers Can Join the Same Notary Session

Multiple parties can complete the same notarization session online. Signers can be in the same room or join from separate locations using secure session links.

  • Each signer verifies identity before the session
  • Each signer joins the live video session when required
  • Additional signers are $25 each
  • Business accounts can send invite links and monitor signer status
Example workflow

Two parties signing one document from different locations

  1. The request owner uploads the PDF and enters the other signer's information.
  2. Each signer receives instructions and completes identity verification.
  3. Both signers join the video session with the commissioned online notary.
  4. The notary witnesses the signing, applies the electronic seal, and completes the certificate.
  5. The completed notarized PDF is available for download after payment.

Identity and international signers

How to Prepare for Authentication

Identity verification is the step that most often determines whether a session can proceed. Prepare your information before you start.

  • Enter your full legal name exactly as it appears on your identification
  • Use your current residential address when completing authentication
  • Make sure your ID is current, clear, and not physically damaged
  • Answer authentication questions carefully before the timer expires
  • Use a quiet location with enough light for the video session
With U.S. public records

KBA May Be Available

Signers who can be matched to U.S. public records can often complete knowledge-based authentication before joining the video session.

Without U.S. public records

Plan Before Starting

Some international or non-U.S. citizen scenarios may require credible witnesses or additional coordination. Contact support before starting if you are unsure.

If you do not pass authentication after the allowed attempts, the platform may require a waiting period before another attempt. Support can help you understand the next step, but cannot bypass identity verification requirements.
